Privacy Notice
Who we are
This system is operated by 148 Detachment, Greater London South West ACF, for the sole purpose of managing cadet and adult volunteer records in accordance with ACF administrative requirements.
What data we hold
DMIS holds the following categories of personal data:
- Cadet names, dates of birth, enrolment dates, and attendance records
- Adult volunteer (CFAV) names, ranks, appointments, and attendance records
- Training progress and qualification records
- Contact details where provided for operational purposes
This data originates from Westminster / PSH (the ACF's central personnel system) and is imported periodically. DMIS does not collect data directly from cadets or their families.
How data is stored
All data is stored locally on the detachment's own server, within the detachment's premises or a secure location approved by the chain of command. Data is not transmitted to or stored on any third-party cloud platform, external service, or SaaS provider.
Who can access the data
Access is restricted to authorised CFAVs who have been granted a DMIS login by the Detachment Commander. All access requires a password and two-factor authentication. Access events are logged.
How long data is retained
Data is retained in line with ACF policy and the current ACF Data Retention Schedule. Records for individuals who have left the ACF are removed or anonymised within the timescales specified by that policy.
Your rights
You have the right to request access to personal data held about you, to request correction of inaccurate data, and to raise concerns about how your data is handled. To exercise these rights or to report a data concern, contact the Detachment Commander.
If you are not satisfied with the response, you may contact the ACF Data Protection Officer or raise a complaint with the Information Commissioner's Office (ICO) at ico.org.uk.
Changes to this notice
This notice will be updated as necessary to reflect changes in legislation, ACF policy, or how DMIS is operated.
